Executive Assistant (M/F/D)

LIQUI MOLY USA is seeking a candidate to fill a new position in our marketing team as an Executive Assistant, this role is hybrid within the Irvine, CA area. Join our team and you will work with people who think positively about the future and are upbeat about life. 

We are seeking a dynamic Executive Assistant to join our team, the ideal candidate will have experience, skill, positive attitude, and a proven track record of success in communication and organizational planning, as well as passion for delivering exceptional customer service to both internal and external customers.

In this position, you will take an active part in the successful growth of our company. You will be responsible for coordinating and assisting efforts for members of two of our departments focused on project completion and assistance. This role will also focus on actively supporting two of our department leads, organizing and completing projects, needs fulfillment, and administrative tasks. Working independently, you are responsible for your own success. 

LIQUI MOLY is a leading manufacturer of OE-type high-quality motor oils, additives, and other lubricant products with headquarters located in Ulm, Germany. Since 1957 we have supplied the German marketplace with innovative quality oil and additive products for the automotive, powersports/marine, and industrial markets. In 1992 we began our sales effort in the United States and these past 10 years sales have grown significantly. 

To continue our successful growth, we continue to expand our teams. This opportunity provides a competitive salary range of $68,000-$78,000 D.O.E. Also included are travel expense reimbursement, business iPhone, laptop computer, 401K plan, health insurance, disability insurance, paid vacation, and holidays.

* This position is a home office-based assignment hybrid to our office in Irvine California

Requirements

  • Manage and maintain executive schedules, including coordinating meetings, travel arrangements, and calendar management.
  • Act as a point of contact between the department leads and internal/external stakeholders.
  • Prepare and edit correspondence, presentations, reports, and other documents as needed.
  • Screen and prioritize incoming requests, projects, and needs, ensuring timely responses and follow-ups.
  • Organize and maintain filing systems, ensuring confidentiality and efficient record-keeping.
  • Assist with personal tasks, as needed, to ensure smooth day-to-day operations for the department leads.
  • Coordinate and manage projects from start to finish, ensuring deadlines and deliverables are met.
  • Support the executive in tracking the progress of ongoing projects, preparing status reports, and facilitating project meetings.
  • Collaborate with cross-functional teams to ensure effective project execution and communication.
  • Coordinate special initiatives and events, providing administrative support as required.
  • Assist with social media coordination, including managing content schedules, drafting posts, and engaging with followers on company social media channels.
  • Handle sensitive information with discretion and professionalism.
  • Bilingual preferred (Spanish or German)

Must Haves:

  • Legally able to work in the USA with no restrictions.
  • Clear a background check.
  • Have a current valid driver's license with a clean record.
  • Willingness to travel up to 25-40% of the time.
  • Ability to use MS Office applications (Outlook, Excel, Word, and PowerPoint)
  • 2+ years of experience as an executive assistant or in a similar administrative support role.
  • Proven ability to manage multiple tasks and priorities effectively in a fast-paced environment.
  • Strong project management skills, with experience coordinating and tracking projects across teams.
  • Experience with social media management, including creating and scheduling content, monitoring engagement, and analyzing results.
  • Strong communication, organizational, and time management skills..
